Who we are
This policy covers the website and app at aogsccyouth.com. The responsible party is AOG Sandton City Church, 17 Humber Street, Woodmead, Sandton, Gauteng, South Africa. For anything about your information, including requests to our Information Officer, please use the contact form.
What we collect
- Joining the church: your name, date of birth, contact details, area, school or work, faith journey, ministry interests, emergency and guardian contacts, and any photo or documents you choose to upload.
- Event registrations: your name, email, phone, the answers to the event's questions, the number of tickets, and (for paid events) your proof of payment.
- Weekly letter: your name and email address.
- Prayer requests and messages: what you choose to tell us.
- Signing in with Google: your name, email address and profile picture from Google. We never see your Google password.
- Technical: a sign-in cookie and basic security logs (such as IP address) to keep the site safe. See our cookie policy.
Why we use it
- To welcome you, follow up personally and care for you pastorally.
- To manage event registrations, verify payments, and send your confirmation, ticket and calendar invite.
- To keep children, youth and everyone safe at our gatherings and camps.
- To connect you with ministry teams you're interested in.
- To send the weekly letter, only if you've asked for it.
We process your information with your consent, to carry out what you've asked us to do (like registering you for an event), and for our legitimate interests as a church community.
Who can see it
Only authorised church and youth leaders, through a protected admin dashboard that needs a Google sign-in and an emailed code. Prayer requests marked "pastors only" are restricted to pastoral leaders.
We never sell your information or share it for marketing. We use trusted service providers (operators) to run the site: Cloudflare (hosting, database, file storage and email delivery) and Google (sign-in). Their servers may be outside South Africa; they are bound by agreements that protect your information to a standard similar to POPIA.
Signing in with Google
You can choose to sign in with your Google account. Here is exactly what that involves.
- What we receive: only your name, email address and profile picture, through Google's standard sign-in (the "openid", "email" and "profile" scopes). We never see your Google password, and we don't access your Gmail, contacts, calendar, Drive or any other Google data.
- How we use it: to create and secure your account on this website, pre-fill forms such as joining the church or registering for an event, show your profile picture on your profile, and email you about the things you sign up for.
- Sharing: we don't sell, rent or share your Google user data with anyone, and we don't use it for advertising or to train any AI models. It is stored securely with our hosting provider (Cloudflare) and seen only by authorised church leaders.
- Limited Use: our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
- Removing access: you can disconnect our website at any time from your Google Account (Security → Your connections to third-party apps & services), and ask us to delete your account and information using the contact form. We'll delete it within 30 days.
How long we keep it
- Membership information: while you're part of the church, and up to two years after you ask to leave.
- Event registrations and proof of payment: up to five years, for financial record-keeping.
- Weekly letter: until you unsubscribe (one click in any letter).
- Security logs: no longer than needed to keep the site safe.
Keeping it safe
Everything is encrypted in transit (HTTPS), stored on Cloudflare's secure infrastructure, and only reachable by authorised leaders. Uploaded files are checked for type and size, and access to the dashboard is logged.
Children and young people
If you're under 18, we ask for a parent or guardian's details and their consent before we keep your information. Parents and guardians can ask to see, correct or delete their child's information at any time.
Your rights
You can ask us to show you what we hold, correct it, delete it, or stop contacting you. You can withdraw consent at any time. You can also manage your profile and weekly letter on My profile. If you're unhappy with how we've handled your information, you may complain to the Information Regulator (South Africa) at inforeg.org.za.
